SCHEDULING/SUBSTITUTE LIST PROCEDURES

Typically, Student Assistants are expected to work a minimum of 10 hours per week, your schedule should also include weekend (Friday 5pm-Sunday) and evening shifts (after 5pm). You are expected to work all of your shifts through the last day of final examinations. Shifts are selected during the ‘Scheduling Meeting,’ which is held the day before the beginning of each term.

Part of the expectations for all Student Assistants at the Baker-Berry Information Desks is that you will make every effort to be present for the shifts you are assigned to work. However, we realize that academics, illness and other commitments will occasionally conflict with this your work schedule. For this reason the Substitute List Procedure exists. As soon as you find out you will not be able to work a scheduled shift, you should use the following procedure:

  1. Send an e-mail out to the address: BIRD_Sublist@cloud.dartmouth.edu with the subject line: SUB NEEDED: Date, Start Time – End Time, Desk. A sample: SUB NEEDED: 1/1 8pm-10pm Baker. In the body of the e-mail, please describe any special requests you might have (examples include: willing to trade shifts, willing to work part of a shift if someone will cover another part)
  2. All employees who can cover a shift should e-mail to the original SENDER of the message confirming their availability.
  3. Upon obtaining a sub, the original SENDER will e-mail the list with the following subject line: GOT SUB: Date, Start time-End time,  Desk. A sample: GOT SUB: 1/1 8pm-10pm Baker. In the body of this message, please put something indicating who is covering the shift.
  4. Immediately after obtaining a sub, you should update the online schedule on Google Calendar (see next section). If you are unable to find a sub with with your first attempt, you may try sending out an identical message with a subject line like:

PLEASE NOTE: It is ultimately the employee’s responsibility to fill any shift that will be missed. However, please e-mail your supervisor and/or student managers if you are having a particularly difficult time filling a shift.
